Marine Lab Policies, Procedures and Protocols

Personnel -- Attendance Policy

SUBJECT: Attendance Standard

Date: June 28, 1993

Purpose: To provide attendance standards for all School of the Environment bi-weekly employees to insure the continuity and quality of services which we provide to our students, to our fellow employees, to Duke University, and to those outside the University. This policy should be viewed as supplemental to the overall University attendance policy which should be read by all bi-weekly employees.

Definitions:

    Scheduled Absence -- Time away from work which is in accordance with policy and has been approved in advance by the employee's supervisor. Included in scheduled absences are vacation, holidays, jury duty, funeral leave, and pre-scheduled sick time, e.g., elective procedures, appointments.

    Unscheduled Absence -- Time away from work which is unknown in advance, unexpected, and/or unapproved by the supervisor. Included in unscheduled absence would be absences due to illness, injury, personal time, or reporting to work after more than 30% of the day has elapsed.

    Tardiness -- Not being at one's work station ready to work at scheduled times, such as the beginning of a shift, or after a rest break or meal period.

    Occurrence -- Absence for one scheduled work day (or a portion of a day) or absence for a single series of consecutive scheduled work days. Occurrence of tardiness represents each instance of tardiness.

Standards: Each employee is expected to report for work, ready for work, at his/her scheduled starting time, and remain at work during his/her scheduled hours.

An employee must inform his/her supervisor of any expected absence prior to the start of his/her scheduled work period. Vacation and personal leave days should be scheduled five (5) working days in advance. Vacation of one (1) week or more should be scheduled ten (10) working days in advance. All requests for time off must be submitted in writing to the supervisor. The above time periods for notification can be waived by the supervisor under unusual circumstances. The following patterns may be considered excessive and may result in disciplinary action:

    a) The occurrence of three unscheduled absences within any rolling three-month period.

    b) Unscheduled absences which are similar and repetitive in nature, such as, but not limited to, days absent adjacent to holidays or other scheduled days off, the same day absent each week, etc.

Disciplinary action will be taken consistent with Duke University "Disciplinary Actions" in the Personnel Policy Manual:

  • Oral Warning (written documentation is necessary)
  • Written Warning
  • Disciplinary Suspension
  • Discharge

Employees who enter the disciplinary track for attendance will be notified of assistance available from University Employee Relations.
